Arrival, Housing, and Travel

Arrival & Check-in

  • Check in to your hotel first before checking in for the conference. Hotel check-in times are usually 3 or 4 p.m. If you arrive before your room’s ready, ask the front desk about luggage storage options.
  • Check in for the conference Dec. 28 between 10 a.m. and 6 p.m. in the Indiana Convention Center (100 South Capitol Ave., Indianapolis).
  • Urbana’s first session starts Dec. 28 at 7:30 p.m. EST. Make sure you check in early enough (and eat), so you don’t miss the first session.
  • These days, flight cancellations and delays are extremely common. We highly recommend adding buffer time to your travel itinerary. Expect delays!
  • Late check-in for the conference (if you don’t arrive early enough on Dec. 28) begins at 8 a.m. on Dec. 29.


You can reserve your hotel room now through the Urbana Housing Bureau using the housing link in your registration confirmation email. We encourage you to take advantage of this opportunity to get a discounted rate at the hotels closest to the Indiana Convention Center. Plan on spending $125-150 plus tax each night.

Hotels will require a credit card to reserve a hotel room but won’t charge the card until you arrive onsite.

Finding roommates can help lower your housing costs. Most hotel rooms can accommodate four guests. Have one person in your group reserve the room but make sure everyone’s name and email appears on the reservation. When the reservation’s finalized, each person in the room will receive an email confirmation they can use to check in when they arrive at the hotel.  

Amenities & Accommodations

When making your reservation through the Urbana Housing Bureau, you’ll be able to see your hotel’s amenities (Wi-Fi, breakfast, etc.). If you have any further questions about amenities, feel free to contact the Visit Indy Housing Bureau by calling 317.262.8191 8:30 a.m.-5 p.m. EST or emailing


Hotels will require the first person who checks into a room to put down a temporary room deposit. These amounts may be $50 or more per night. Urbana highly recommends using a credit card (not a debit card) for these deposits to avoid any holds on your bank account. If you use a debit card, the deposit may be immediately withdrawn from your account, resulting in a negative balance or reaching your account’s daily maximum.

Group Reservations

You may reserve up to 10 rooms through the Urbana Housing Bureau through the housing link that was emailed to you on Sept. 7 or in your Urbana registration confirmation email. (You can only reserve rooms if you’re registered for Urbana.)

By air: Book your flights into Indianapolis International Airport (IND) and shop around for the best deals.

To get from the airport to an Urbana hotel, you can book a seat on a shuttle. Tickets to this shuttle service can be purchased ahead of time. Check back here in October for the ticketing link.

By car: Ask the hotel about parking rates. We’ve partnered with Gate Ten to offer parking for the week of Urbana. To book your parking ahead of time, go to

By bus: Regions of our InterVarsity ministry often organize charter buses to help reduce travel expenses. If you’re an InterVarsity student, ask your chapter leaders if there are plans to send a bus.
